How to Send an Amendment
The amendment feature can be used to add roles to a project, update role information or make changes to production details. It can also be used to send the project again after the deadline has passed or to bring the closing date forward.
Creating an Amendment
To create an amendment, select project folders and find the breakdown you wish to create an amendment for. Once you have found it, click ‘send amendment’ that appears in red at the top of the breakdown.
An amendment will copy information from your previous breakdown and allow you to edit so you can update any information you need.
Adding Existing and New Roles
If you need to include roles from your previous breakdown you can tick the boxes beside the role name or if you need to add new roles, leave these boxes unticked and click next. On the next page, you will be able to add new role details. Once this is done you can click next.
Breakdown Message
It is best to use the breakdown message function to let agents and performers know the updates you have made in the amendment, so they can quickly assess if they need to change their submissions or make new ones. Once you have selected your recipients you can go ahead and send it out.
Sending an Amendment
You will then see the amendment in your project folder which will be numbered. This will allow you to distinguish between the amendment and the previous breakdown and access the suggestions you need.
Viewing Suggestions
You will still be able to view the original breakdown and view the suggestions for both projects at once by using the ‘replies to’ filter. Agents will still have access to both breakdowns for reference.
Follow Up Message
Once your project is cast we recommend you send a follow-up message to let agents and performers know that you are finished casting. You can do this by going into your breakdown and selecting the ‘send follow-up’ option that appears in red at the top of the page.
Should you have any further questions please email casting@spotlight.com and the team will be happy to help.
